HR Policies and Procedures

Policies and procedures are a set of documents that should exist within your company. Policies explain the company position and procedures tell your managers and employees how to do things. 

This documentation gives your employees a written unequivocal explanation of your company’s culture. It provides them with the structure and order they need as well as answers to their questions. It defines what is and what isn’t acceptable behaviour. It forms the backbone of your company. Order is just as important to a small business as it is to a much larger one.

 There are some legal requirements to take into account when creating your company policies and procedures. You must make the following information available to your employees:

  • What holiday pay they’re entitled to
  • What to do when they’re off sick and how they get paid
  • Notice periods
  • Procedures for making a complaint/raising a grievance
  • Disciplinary procedures
  • And much more!

Other relevant information would be your employee’s entitlement to other leave (maternity, paternity, Hajj, compassionate, emergency etc). You don’t have to give a lot of detail but it’s a good idea to confirm that your company complies with the statutory requirements.

 

This document is more often used by the HR team and your management to ensure that all HR matters are kept in accordance with your company’s guidelines and to advise how to go about things.  It is unusual for employees to have their own copy of this document and so we recommend a Staff Guide that explains how to go about things, in easy language, for your employees which is given to them during their company induction.  Competence HR Consultants have extensive experience in drafting Staff Guides for our clients – speak to us about a Guide for all your employees.
